RoomCast collects information you provide directly when creating an account, configuring displays, or managing room bookings. This includes your name, email address, organization details, and calendar integration credentials. We also automatically collect usage data such as IP addresses, browser type, and interaction patterns to improve our service.

We use the information we collect to provide, maintain, and improve RoomCast services; authenticate users and manage access permissions; display room availability and booking information on connected displays; send service-related notifications and updates; and monitor system performance and security.

3. Data Storage & Security

Your data is stored in encrypted databases with access controls limited to authorized personnel. We implement industry-standard security measures including encryption in transit (TLS) and at rest, regular security audits, and access logging. All calendar integration tokens are stored using encryption and are never exposed in plaintext.

4. Third-Party Services

RoomCast integrates with third-party calendar providers (Google Calendar, Microsoft Exchange, CalDAV servers) to retrieve and display booking data. We only access calendar data necessary for the service to function. We do not sell or share your personal information with third parties for marketing purposes.

5. Cookies

RoomCast uses essential cookies required for authentication and session management. These cookies are strictly necessary for the service to function and cannot be disabled. We do not use advertising or tracking cookies.

6. Data Retention

We retain your account data for as long as your account is active or as needed to provide services. Calendar event data is cached temporarily and refreshed according to your configured sync intervals. When you delete your account, we remove your personal data within 30 days, except where retention is required by law.
